Advance Health ("we", "us", "our") is committed to protecting your personal information. This policy explains what data we collect, how we use it, and your rights under the General Data Protection Regulation (GDPR). This policy applies to all participants, sponsors, and visitors who interact with Advance Health.

Information We Collect

When you register for Advance Health, we collect personal information necessary to organise the event. This includes your name, email address, university affiliation, year of study, and academic discipline. We may also collect dietary requirements and accessibility needs to ensure we can accommodate all participants. Any project submissions or materials you share during the event are also retained for judging and record-keeping purposes.

How We Use Your Information

We use your information solely to organise and run the Advance Health ideathon. This includes communicating event details, coordinating logistics, sending schedule updates, and administering project judging. We may also use anonymised, aggregated data to report on the event's impact to our sponsors and partners. We will not sell, rent, or share your personal information with third parties for marketing purposes.

Data Sharing with Sponsors

With your explicit consent (given during registration), we may share your name, university, and contact details with event sponsors and partners. This enables sponsors to connect with participants about opportunities such as internships, graduate programmes, or research positions. You can opt out of this at any time by contacting us at contact@advancehealth.ie.

Photography and Media

Advance Health may take photographs and video recordings during the event for use in future promotional materials, social media, and press coverage. By participating, you consent to the use of your likeness in such materials. If you have objections, please inform an organiser at the start of the event and we will make reasonable efforts to exclude you from published media.

Data Retention

We retain participant data for up to 24 months after the event to facilitate future editions of Advance Health and to maintain records of the event. After this period, personal data is securely deleted. Project submission records may be retained in anonymised form for research and impact reporting purposes.

Your Rights

Under the General Data Protection Regulation (GDPR), you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, withdraw consent at any time, and lodge a complaint with the Data Protection Commission (Ireland). Security

We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss, or misuse. Event registration data is stored on secure platforms. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
